1.  Operations Manager. Full-Time

The Operations Manager is a critical part of the SophieGrace team that manages the operations of the order fulfillment team, the Vancouver showroom and Customer Support. This role will also include ad hoc projects that improve the overall operations of the business. Key responsibilities include but are not limited to:

 

Fulfillment Team Management:

  • Be the go to leader on the fulfillment team overseeing the shipping of both inbound and outbound logistics for Sophie Grace.
  • Oversee the picking, packing and shipping of orders to customers.
  • Creating policies, training and best practices for the department. 
  • Responsible for recruiting open positions on the shipping team.
  • Manage the shipping team’s schedule, training and performance.
  • Work with management to develop and enhance shipping policies and procedures.
  • Identify key data points for the fulfillment team and report these to management in monthly and quarterly meetings. 
  • Play a critical role in the management of inventory in Shopify by working with your team to receive transfers from suppliers and coordinating transfers between the Vancouver and Calgary showrooms. 
  • Responsible for receiving new product shipments and ensuring stock is accurate, organized and meets our quality standards. 
  • Responsible for coordinating and leading monthly inventory counts. 
  • Work with the gifting team to fulfill orders for influencer marketing

campaigns.

  • Responsible for receiving, inspecting and restocking returned items.
  • Continuous assessment of shipping providers and ensuring we are working with the best partners to get the best rates and service.
  • Authorizing refunds for incorrect orders.  
  • Coordinate daily pickups with third party delivery services for both customer and production shipments. 

 

Customer Service Operations:

  • Support the customer service team by creating reports and best practices in order for the team to scale over time. 



Showroom Operations:

  • Be the in office manager that can support the retail team from an operations perspective. 
  • Work with the retail team to maintain the cleanliness and visual appearance of the Vancouver showroom including the daily cleaning checklist. 
  • Coordinate bi-weekly cleaning with our current cleaning service. 
  • Ensure basic materials such as cleaning supplies, shipping supplies and office supplies are replenished and available. 

 

Requirements: 

  • Ability to see the big picture of what a growing business needs and break that down into the detail that can be clearly executed by the team. 
  • Strong voice and eagerness to improve processes. 
  • Past experience managing a team. 
  • Excited about the opportunity to grow their career with a high growth fashion brand. Ability and willingness to lift and organize large boxes of inventory. 
  • Previous experience with Shopify is an asset
  • Bachelor's degree in a related field.
  • Must be available to work in office Monday through Friday 9-5pm.

2. Fulfillment - Order Picker/Packer Part-Time

Working out of our Vancouver Showroom your key responsibilities will be to:

Handling orders and returns 

  • Efficiently and accurately picking, packing, and shipping customer orders.
  • Collaborating with the marketing team to fulfill influencer marketing campaign orders.
  • Providing customer service support for inquiries such as sizing, shipment tracking, returns, and exchanges.
  • Handling the receipt, inspection, and restocking of returned items.

Receiving and Managing Bulk Inventory

  • Receiving and ensuring accurate organization of new product shipments.
  • Handling the receipt, inspection, and restocking of returned items.
  • Assisting in setting up new products on Shopify.
  • Managing Shopify inventory by creating and receiving transfers from suppliers.

Additional Responsibilities:

  • Maintaining the cleanliness and visual appeal of the Vancouver showroom, including daily cleaning tasks.

Schedule:

  • Part-time position, 25 - 40 hours weekly.
  • Flexible scheduling, including potential weekend shifts.
  • Shift timings may vary according to operational requirements.

You have:

  • High school diploma or equivalent.
  • Ability to work effectively both independently and as part of a team.
  • Strong communication skills.
  • Capable of lifting at least 25 pounds unassisted; potential to lift over 25 pounds with or without assistance.
  • Detail-oriented approach to ensure precision in order processing.
  • Basic computer skills for order tracking and inventory management.
  • Previous fulfillment, warehousing, or related experience is advantageous.
  • Excellent communication and interpersonal abilities with customers and team members.
  • Self-motivated, capable of working autonomously while recognizing when to seek guidance.
  • Undertake merchandising tasks like steaming, folding, and displaying products as per company standards.
